This notice explains how Automotiv Ltd (“AutoMotiv”, “we”, “us”) collects and uses personal information when you visit automotiv.uk, send us an enquiry or ask us to value your vehicle.

What we collect

When you send an enquiry, ask about a vehicle or book a viewing: your name, your email address or phone number, your message, and the vehicle you are asking about.

When you ask us to value or buy your vehicle: your vehicle’s registration, mileage, make and model and condition; your name, email address and phone number; and any photos you choose to send. Please avoid photos that show people or anything you would rather keep private.

When you contact us by phone, email or WhatsApp: your contact details and what you tell us.

When you use the website: our web host keeps standard server logs (such as your internet address, browser type and the pages requested) to keep the site secure and working. To stop spam, the website also keeps a scrambled (one-way encrypted) version of your internet address for up to 10 minutes after you send a form.

How and why we use it

• To reply to your enquiry, arrange viewings and give you information about vehicles — because you asked us to, and to take steps before entering into a contract with you.
• To value, buy or part-exchange your vehicle — to take steps before entering into a contract with you.
• To sell you a vehicle and keep records of the sale — to perform our contract with you and to meet our legal obligations, such as tax and accounting rules.
• To keep the website secure and protect it from spam and fraud — our legitimate interest in running a safe website.

We do not sell your information, and we do not use it for marketing unless you ask us to keep you updated. We do not make decisions about you using automated means.

Who we share it with

• DreamHost, which hosts this website and its email.
• WhatsApp (Meta), if you choose to message us on WhatsApp.
• Our professional advisers (such as accountants), and authorities where the law requires it.

Some of these providers are based in, or store information in, the United States. Where information is transferred outside the UK, it is protected by safeguards approved under UK data protection law.

How long we keep it

• Enquiries, valuations and photos that do not lead to a sale or purchase: up to 12 months.
• Sale and purchase records: 6 years from the end of the financial year they relate to, as required for tax and accounting.
• Spam-protection records: up to 10 minutes. Server logs: as kept by our web host for security.

Your rights

You can ask us for a copy of your personal information, and ask us to correct it, delete it, restrict how we use it, or object to our use of it. Where it applies, you can also ask us to transfer it to you or another organisation. To make a request, email sales@automotiv.uk. We will reply within one month.

If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.
